This website collects a minimal amount of data, strictly necessary for its operation. We do not require account creation on this site and we do not store card or banking data.

Data that may be collected includes:

• Navigation data: IP address, browser type, pages visited, session duration — collected automatically via technical means and, only with your consent, via analytics cookies (Google Analytics).
• Cookie preferences: your cookie choice (necessary / analytics / refused) is stored locally in your browser (localStorage) and is not transmitted to any server.
• Contact and registration data: if you contact us by email — including for congress registration, invitation letters or payment matters — we will process your email address and the content of your message solely to handle your request.

Card payments: donations and contributions by bank card are processed by Wise and Stripe. Card details are entered exclusively within the processor's secure environment and are never collected, viewed or stored by the association. Wise and Stripe act as independent controllers for the payment data they process; please consult their own privacy policies.

• Keynote-lectures interest list: if you register your interest in attending the public keynote lectures, we store the name, email address and message you submit. These details are used solely to contact you about the keynote lectures — the programme, seats, pricing and the allocation of places — and are deleted after the Congress. You may ask to be removed from the list at any time by writing to us.

The Visit Bucharest page displays an interactive map whose background tiles are loaded from a third-party provider (CARTO / OpenStreetMap). When the map is displayed, your browser requests those tiles directly from the provider, which technically receives your IP address; no cookies are set and no other data is transmitted.

• Contact form: if you write to us through the contact page, we store the name, email address and message you submit and use them solely to answer your enquiry. A copy is delivered to our contact mailbox. You may ask for your message to be deleted at any time.
• Dietary options form: if you submit the dietary options form, we store your name, institution, country and the dietary requirements, allergies or intolerances you describe. Because this can reveal health information, it is processed only with your explicit consent, used exclusively for catering arrangements during the Congress, shared only with the catering provider, and deleted after the event. You may ask for its removal at any time by writing to us.

If you apply through the Call for Volunteers form, we process the data you submit — name, email address, age, residence, occupation, language skills, motivation and availability — solely for organising and running the volunteer programme of the Congress (selection, scheduling and communication with applicants).

This data is never shared with third parties. It is deleted after the Congress ends, and you may request its removal at any time at the contact address below.

• Technical operation of the site — ensuring correct display of pages and basic functionality.
• Usage statistics (only with your consent) — understanding how visitors interact with the site, in order to improve content.
• Communication and congress administration — responding to messages received by email, including registration and visa-related correspondence.

We do not use your data for advertising, profiling or transfer to commercial third parties.

• Legitimate interest (Art. 6(1)(f) GDPR) — for processing technical navigation data needed to operate the site.
• Consent (Art. 6(1)(a) GDPR) — for analytics cookies, given via the cookie banner. Consent may be withdrawn at any time.
• Performance of a contract / steps at your request (Art. 6(1)(b) GDPR) — for congress registration correspondence and related administration.

• Anonymised navigation data: up to 26 months from collection.
• Cookie preferences: stored locally in the browser until manual deletion or expiry of localStorage.
• Email correspondence: for as long as needed to resolve the request and administer the congress, up to 2 years after the event.

Once these periods expire, the data is deleted or irreversibly anonymised.

Under the GDPR, you have the following rights regarding your personal data:

• Right of access — you can request a copy of the personal data we hold about you.
• Right to rectification — you can request correction of inaccurate or incomplete data.
• Right to erasure — you can request deletion of your data, on the conditions set out in the GDPR.
• Right to object — you can object to processing based on legitimate interest.
• Right to data portability — you can request your data in a structured, machine-readable format.
• Right to lodge a complaint — with ANSPDCP, Romania's Data Protection Authority (www.dataprotection.ro).

We use two categories of cookies:

• Necessary cookies: essential for the functioning of the site (e.g. storing your cookie preference). These cannot be disabled.
• Analytics cookies (Google Analytics): set only with your explicit consent, via the banner shown on first visit. They help us understand how the site is used, in anonymised form. They can be refused, or consent withdrawn at any time, via “Cookie preferences” in the footer.

We do not set advertising or cross-site tracking cookies ourselves; for cookies set by embedded third-party content, see “Third-party content and services” below.

Embedded videos (Meta) — some pages include videos embedded from Facebook, a service of Meta Platforms Ireland Ltd. When such a video is displayed or played, Meta may process technical data about your visit (such as IP address and browser information) and may set its own cookies, under its own policies: the Meta Privacy Policy and the Meta Cookies Policy.

Embedded videos (YouTube) — some pages also include videos embedded from YouTube in privacy-enhanced mode (youtube-nocookie.com), which sets no cookies until you play a video; on playback, Google may process visit data under the Google Privacy Policy.

Payment processors — online payments of registration fees and donations are made on the secure external pages of Stripe and Wise; card details are entered there and never reach this website. Their processing of your data is governed by the Stripe Privacy Policy, the Stripe Cookie Policy and the Wise Privacy Policy.

We take reasonable steps to protect your data against unauthorised access, loss or destruction, through appropriate technical and organisational measures.

The site uses secure connections (HTTPS). That said, no transmission of data over the internet can be guaranteed to be 100% secure.
